Terms and Conditions

Please read these terms before registering. We reserve the right to change information displayed on our site (including these terms and conditions) at any time without notice.

Registration and payment

Registration

A registration must be paid in full to confirm your place at the conference. Unpaid registrations, or registrations with outstanding balances, are not considered confirmed until full payment is received. Unpaid registrations will be cancelled after 7 days unless prior arrangements have been made with the organisers. Issuing an invoice for an unpaid registration does not guarantee that a place is being held.

Registrations made within 7 days of the conference start date will not be able to request any dietary requirements due to the venue’s notification cut-off period.

All attendees must be over 18. Due to the nature of content being presented, anyone under 18 is not permitted at the conference or social functions.

Commercial attendance

This applies to anyone wishing to attend, not only sponsors and exhibitors. Persons wishing to attend from any commercial organisation should first contact the Organisers to request approval to attend. If you are from a commercial organisation and have registered without committee approval, your registration will be cancelled without notice. No soliciting by any commercial organisation, other than those who are sponsors, is allowed.

Attendance at Workshops, Network Meetings, Special Interest Groups and Masterclasses is not open for commercial attendees.

Any other form of promotion—including flyers for conferences, projects, research outcomes, or similar—must also receive prior approval from the Organising Committee.

Credit card charges

All credit card payments are processed via the Stripe payment gateway. A card payment surcharge of 1.85% applies to all credit and debit card transactions, including Visa, Mastercard, and American Express. This surcharge reflects Jason Thomas Events’ cost of card acceptance. All prices are in Australian dollars and include 10% Goods and Services Tax (GST).

Invoices

If an invoice is requested, please note our invoices include all information required for payment processing and supplier setup within standard accounts payable systems. As such, we do not complete additional customer-specific supplier or procurement forms. Credit card payment via the website remains available as an alternative payment method.

Refunds / cancellations

Registration cancellations will not be accepted unless made in writing to the Event Manager.

Cancellations received up until one month prior to the conference, 28 May 2027, will be refunded less 25% for administration and processing fees. No registration refunds will be made after this date.

As an alternative to cancellation, your registration can be transferred to another person in your organisation, if advised in writing no later than 5 days (23 June) prior to the commencement of the Conference.

Changes

One complimentary change per registration is offered. For additional changes (or changes that involve any kind of refund) there is a $55.00 change fee that will be applied.

Privacy

All registration-related correspondence (including reprints of tax invoices) will be sent only to the email address(es) provided during registration. See our full Privacy Policy.

Sponsors and exhibitors

Payments

All sponsor and exhibitor payments must be made within 30 days of invoice. Full payment is due no later than 1 April 2027. Where an invoice is issued after 1 March 2027, payment is due within 14 days of invoice.

Cancellations

Notice of cancellation must be submitted in writing prior to the conference commencing. If a confirmed sponsor or exhibitor cancels prior to 1 May 2027, a 50% cancellation fee will apply. No refunds will be made available after this date.

Attendee list

No attendee contact details will be provided. All communications sent out on behalf of the sponsor will be facilitated by the Conference.

General information

Attending

To attend the Student Success Conference 2027, you must have a paid registration. The conference is intended for academic and professional staff working within higher, tertiary and adult education.

The Student Success Conference 2027 will take place at ECU City Campus, Perth WA. No transportation is provided for the conference, or between the venue and the airport or accommodation providers. Delegates are encouraged to use Perth’s public transport network, with the venue well-serviced by train and bus.

All presentations at the Conference will be in English.

Visa requirements for international attendees

All international attendees are responsible for ensuring they hold a valid visa to enter Australia, where required. Information on visa options and application processes is available via the Australian Government’s Visa Finder tool.

The conference organisers do not provide visa advice, assistance, sponsorship or guarantees in relation to visa applications. Visa requirements, processing times and outcomes are determined solely by the Australian Government.

Attendance at the conference is subject to obtaining the appropriate visa where required. Failure to obtain a visa, or delays in visa processing, does not constitute grounds for a refund outside of the conference’s standard cancellation and refund policy.

Behaviour

The Organisers reserve the right to refuse admission to any participant.

All participants are expected to conduct themselves in a manner consistent with the spirit of the Conference—collegial, supportive, and considerate. Attendees must not engage in offensive, inappropriate, rude, or insulting behaviour, including any conduct that is disrespectful, harassing, or disruptive to others.

This includes (but is not limited to) wearing or displaying any commercial, political, religious, or otherwise offensive signage or logos.

Without prejudice to any other rights which The Organisers may have, if you contravene any of these Terms or Conditions, you may:

  • Be refused entry to, or be removed from, the venue;
  • Have your ticket confiscated and/or cancelled without refund or recompense.

The Organisers reserve the right to evict any person from the venue and the conference if they are in contravention of any of these Terms and Conditions.

Inclusion

Every effort is made to ensure all delegates can fully participate in all aspects of the Conference. Please include any relevant details about access, participation and dietary requirements on your registration form to enable us to make your Conference experience as enjoyable and productive as possible.

Dress

A smart casual dress code applies for all conference sessions and social functions.

Event speakers

Any views expressed by speakers remain at all times their own personal views. Subject to applicable law, The Conference does not accept liability for any advice given, or views expressed by any speaker at any event or conference or in relation to any materials provided to delegates or attendees.

Insurance

It is strongly recommended that delegates take out adequate medical, travel and personal insurance before travelling.

Name badges

The wearing of identification badges is mandatory and will be required for admission to all sessions and conference social functions. Name tags are non-transferable.

Photography and recording

Official photography and videography may take place at the conference by a contractor approved by the Conference Organising Committee to document the event. By agreeing to these terms and conditions you authorise us to record you on photo or in film, and use these photos and/or videos as a record of the event, at the event, or as a promotion for future events, including across digital and social media channels. If you do not wish to be in these recordings please let us know at the time of registration.

You may use small cameras or smart phones at the Conference to take photographs and videos/films for personal, non-commercial use, provided it’s not disruptive, intrusive or in breach of intellectual property or privacy rights or against the content owner’s will.

Liability and accommodation

Liability

Without affecting any of your statutory consumer rights that cannot be lawfully excluded or limited: a) Jason Thomas Events Pty Ltd will not be liable for any losses, damages, liability, claims or expenses (howsoever caused, including negligence, and whether direct, indirect or consequential) arising from the use of or connected with our site or any products or services purchased on our site, and b) Jason Thomas Events Pty Ltd makes no warranty or representation as to the fitness or suitability of any product or service displayed on our site or any linked site.

Neither STARS nor Jason Thomas Events Pty Ltd shall be considered in breach to the extent that performance of their respective obligations is prevented by an event of Force Majeure, such as war, acts of terrorism, epidemics, pandemics or other health-related events, Government advisories, earthquakes, flood, fire or other physical natural disasters.

Where liability cannot be excluded, to the extent permitted by law, the liability of Jason Thomas Events Pty Ltd is limited to the total fees paid by the relevant party in connection with the Conference. Jason Thomas Events Pty Ltd holds public liability insurance covering its operations as conference organiser. Liability for matters arising from the venue premises rests with the venue operator.

Accommodation

Jason Thomas Events Pty Ltd has negotiated preferential accommodation rates with selected providers for the convenience of delegates. Access to these rates is provided via links on the conference website. Any accommodation booking made via these links constitutes a direct contract between the delegate and the accommodation provider. Jason Thomas Events Pty Ltd is not a party to that contract and takes no payment in connection with accommodation bookings.

Negotiated rates are subject to availability, applicable cut-off dates, and the terms and conditions of the individual accommodation provider. Jason Thomas Events Pty Ltd accepts no liability for the availability of negotiated rates, changes to pricing after booking, cancellation terms imposed by the provider, or any other matter arising from accommodation bookings. Delegates are encouraged to review the accommodation provider’s terms and conditions before booking and to book early, as negotiated rates are available for a limited time only. Cut-off dates will be published on the conference website.
